Zapier vs custom software: when the zaps are the company

Zapier is glue. Custom software is the system. How operators decide before another monthly automation bill becomes the office.

Zapier, Make, n8n — the names change. The pattern does not: a form hits a sheet, the sheet hits email, email hits Slack, Slack hits a human who still copies a row. It works until a zap is paused, a field is renamed, or the person who built it leaves.

Custom software is not “more automations.” It is one system that holds the record. Automations can sit on the edge. They should not be the office.

Glue is cheap until it is the process

A new-lead Slack message is glue. A quoting flow that creates a customer, a job, and a PDF in three different logins is a process wearing a zap costume. When it breaks, nobody can say which step is true.

    Those are the ones that fail silently. Circle them.

    Write the source of truth in one sentence

    “The job lives in X.” If X is five tools, you do not have a source of truth.

    Keep Zapier for notifications

    Slack pings, a backup email. Glue is fine at the edge.

    Move the core into software you own

    Create, update, status, who may confirm. That is an app, not a zap.

    Put a human lock on sends and refunds

    An agent may draft. A person clicks. Zapier does not get a credit card.
