Airtable vs a custom web app: when the base should become software you own

Airtable is a better spreadsheet. A custom app is a system of record with roles, a login, and a repo. How to choose without a tool roundup.

Airtable won because Excel was a fight and Salesforce was a religion. For a lot of teams it is still the right tool. The mistake is treating a base as a product: customers in one table, jobs in another, a form on the website, and hope nobody deletes a field.

A custom web app is what you buy when the base has become the company and you need logins, permissions, and an export — not another interface on rented rows.

Keep Airtable when it is a notebook with manners

Internal. One owner. You can still think in rows. The website is separate. Automations are reminders, not money. That is a notebook. Do not pay us to relocate it.

Move when the base is unpaid ops

Customers ask for status you cannot show without a seat. Staff fight over whose view is true. Someone’s personal account holds the workspace. A record is money and there is no lock. That is software. Sovereign. You own the repo on final payment. The base becomes an import, then an export.

What we will not do

Rebuild Airtable inside Airtable and call it an app. Bolt a chatbot onto the base. Hold the workspace in our login. If you want that, plenty of agencies will. We will write no.

The steps — do these in order

    Stay on Airtable if one team owns the base

    Views, a form, a few automations. You can still export. That is enough for a lot of companies.

    Leave when customers or vendors must log in

    A client should not need an Airtable seat to see a job. That is a portal.

    Leave when two people silently overwrite status

    You need roles and an audit, not another view named FINAL.

    Leave when the automations are the company

    If Zapier plus Airtable is the office, you are one broken zap from a silent week.

  5. 05

    Export first, then scope

    CSV out. Named columns. Then a SOW. We do not rebuild a mess you have not named.
