CRM · Custom software · Sales · Sovereign
“We need a CRM” often means “we lose follow-up.” Salesforce, HubSpot, Pipedrive — they are good at pipelines. They are bad at being your job board, your inventory, and your customer login at once. Small companies buy the religion and then live in a sheet beside it.
A custom CRM is rarely a CRM. It is a system of record for how you actually sell and deliver. If that is a straight pipeline, rent the product. If that is a job with status a customer should see, build the job.
Stay in a sheet until the sheet has owners
If one person still “just knows,” software will not save you. Write next action and owner for two weeks. Then we have something to scope.
Rent when you are a sales team
Inbound, stages, sequences, reporting. Buying a custom Salesforce clone is how you spend Sovereign money on a worse HubSpot. We will tell you to subscribe.
Build when the record is the work
The row is a job, a unit, an order, a case. Staff update it. The customer may see a slice. An agent may draft the next email with a human send. That is software you own, worldwide, USD, written SOW — not a CRM licence with extra objects.
The steps — do these in order
- 01
List the fields you actually use
Name, next action, value, owner. If you have forty unused Salesforce fields, you do not have a CRM. You have guilt.
- 02
Rent HubSpot or similar if the pipeline is standard
Leads in, stages, email. Do not custom-build email sequences.
- 03
Build when the “lead” is a job
A site visit, a unit, a batch, a retainer. That is operations with a name, not a CRM addon.
- 04
Do not migrate a graveyard
Two years of untouched rows stay in an export. The app starts with what you will touch this month.
- 05
Own admin
You add users. You export. We do not hold your pipeline hostage.
If this is the work you need, write. You get a written scope, a price in USD, and a site or product you own. Nothing is billed before you approve it.

Web app
When a spreadsheet should become a custom web app
No-code vendors rank for “turn Excel into an app.” Operators need a scoped tool they own — roles, a confirm step, and a kill switch — not another sheet with a skin.
Airtable
Airtable vs a custom web app: when the base should become software you own
Airtable is a better spreadsheet. A custom app is a system of record with roles, a login, and a repo. How to choose without a tool roundup.
Customer portal
Customer portal software: buy a seat or build a portal you own
HubSpot, Shopify customer accounts, and agency “client hubs” are rented rooms. A portal you own is a login on your domain with records you can export.
